We use our own proprietry software (Allscan) to conduct stocktakes in schools. Your Equipment Register is electronically loaded into our hand-held scanner, along with the room register. Once the scanner has all of this information downloaded to it, your stocktake can commence!

We first tell the scanner what room we are going into. After that, we begin the search to see which items* are on the Equipment Register and which should be on. The scanner allows us to search your Equipment Register by serial numbers, makes, model, room and more. If we discover that the item* we are searching for already exists in your Equipment Register, we place a high quality barcode sticker on it with your school name and a unique number which corresponds to the Item No on your Equipment Register. On the other hand, if that particular item* does not appear to be in the Equipment Register and we believe it should be on, we record its details to bring to your attention at the completion of the stocktake.

As we are doing the stocktake, we can use the scanner to modify information about an item also. For example, we record which items have changed location and we can add in any missing or incorrect details (serial numbers, etc). We can even mark an item* to have a barcode re-printed if it has been removed.

We will even make note of an item's condition if it appears to be damaged or no longer in use. We produce a report of these items* and can even assist in disposing of them on your Register if required.

After the physical stocktake we perform data matching and analysis and (if required) return to the school for any follow-up activities. We then send you a Draft Report of the Stocktake results which you can review and approve.

Finally we produce a detailed report for your files, and a summary report for the Auditor. In addition we provide all the necessary data files for your system (SAP, MAZE etc) and instructions on how they can be easily uploaded. We provide over-the-phone support for this process also.

The following years, in addition to the physical stocktake, we can perform further analysis of items* that need Adding or Disposing (Deactivating) on the Register, identifying duplicates, increased focus on correction of item* details and conditions, assignment of items* to Staff Members/Departments, production of School Stocktake Certificates, reconciliation of items* from previous Stocktakes and More!

*Items included in the Stocktake for NSW Public Schools include equipment (<$10k) currently active on your Equipment Register and also 'accountable equipment' found that is not on your register. Accountable equipment are those items deemed by the Principal to be at risk of loss, misappropriation or theft. This includes (but not limited to) computers, laptops, audio visual equipment, musical instruments, digital cameras, televisions, mobile phones, tools and other equipment critical to the operation of the school. The school of course has the final say.

The school of course has the final say. We do not stocktake assets (>$10k) as these items and their accountability are controlled by the Department.
2	Do you visit all locations within the school?		Absolutely Yes! Even dirty, dusty storerooms, server rooms and sheds (if we have been given access). We use the AMS maps/plans you supply us to ensure we get to all locations and more! If certain areas within a location are inaccessible, we record that also.
3	Do you record location of items?		Yes we record the AMS Room code of all sighted items. We also record Date and Time items were sighted.
4	Do you record condition of items?		Yes we record if an item appears to be not-in-use or damaged etc. We also consult with head teachers to discuss wether items are 'accountable' anymore or 'obsolete' so that a determination for write-off can be made.
5	Do you record Staff responsible (custodians) for items?		Where items have been advised for write-off, on-loan, not seen, lost/stolen, not to be included etc, we record the Staff member's name who advised as such.
6	Do you barcode items?		Yes! Do we ever!! We apply high quality, non-tearable, barcodes to each accountable item. We typically don't barcode/mark expensive items like artwork, some instruments etc. Clear labels are placed over barcodes which the Eeny stocktaker believes might be subject to direct sunlight, water, dust etc or be at risk of peeling off. Barcode labels are re-printed as required and applied during subsequent Stocktakes. Barcodes also have the School's Name on them so you can track items that have moved between schools.
7	How do you avoid barcoding personal items?		A few weeks prior to the stocktake, we advise the SAM to send a communication to all staff that we will be on-premises performing a stocktake, and that all personal items should be clearly marked. Our Stocktakers are very astute and typically know what Makes/Models of items schools typically own, however occasionally we might accidentally barcode a personal item. This is no major issue as the barcode can be peeled off and the texta mark can easily be removed with a small amount of acetone. If we are advised of the barcode number we can exclude it from the final results.
8	Can we use the barcodes ourselves in later stocktakes?	Yes and No	The barcodes are in a standard Code128 format which is readable by any RF scanner. You will need to have some kind of software/system which maps the barcode number back to your equipment number and record locations, details etc. At this stage we do not provide blank labels or any DIY system. This may be something we can offer in the future.
9	Do you record items that are not on the register?		Yes we certainly do. We identify and record accountable equipment that has not been recorded in SAP for whatever reason. We record Description, Make (Manufacturer), Model, Serial Number (if one exists) and Location. Acquisition details are not known by the stocktaker at this stage and thus cannot be recorded. On our handheld scanners we can search the entire SAP register very quickly by Description, Make, Model, Serial No and location to ensure the item doesn't already exist. Results are also subject to a 'matching' process which further ensures no duplicate items are recorded.
10	Do you fix details of items that are incorrectly recorded in the register?		Yes. We take note of missing, inadequate, or incorrect details about items (Description, Make, Model, Serial No etc) and correct them as we go.
11	What about items on-loan or off-site?		A few weeks prior to the stocktake, we advise the SAM to send a communication to all staff that we will be on-premises performing a stocktake, and that all off-site items owned by the school are brought in during the stocktake for sighting. Another tactic we use is to setup a convenient time for staff/students to bring their items (laptops, ipads etc) to a central location for sighting. Staff Meetings are usually a good time for this to happen.
12	How do you deal with items that need to be written-off?		In a number of ways: If the school advises us that an item is to be written-off, we record this decision and the staff member's name. After 2 stocktakes, if an item is still unsighted, the Department advises it is a candidate for write-off. We include such items in our reports. As mentioned above, we record items that appear to be not-in-use or damaged etc. This in addition to Make & Model can assist the school in identifying items for 'write-off'.
13	How and what do you update in SAP?	Yes and No	Firstly we do not have access to SAP, so we cannot perform the SAP upload for you. We do however, supply you with SAP data files in the correct format for you to upload to SAP. We also provide instructions on how to do this which usually takes around 10 mins. These instructions are based on the QRG's available to you on your intranet, and we always suggest that you refer to the Department's instructions first and foremost. Secondly, we provide you with a detailed report for your review and approval. After this we provide the following SAP data files for upload: Stocktake results - Sighted Indicator, Last Sighted Date and Last Sighted Location New items - Approved accountable Items found which are not on the register already Changes - Corrections to item details Disposals - Items advised by the school to be deactivated on SAP
14	Do you produce a Stocktake Certificate?		Yes, after the Stocktake we fill-in the Department's Equipment Stocktake Certificate and provide it to you in a PDF format ready for the Principal to sign.
15	Do we have to enter a contract for X many years/stocktakes?	No	No. There is no lock-in contract. By doing such an awesome job stocktaking your school, we hope that you will have us back again year after year. :)
16	Does your price stay the same each stocktake?	It Depends	As you can imagine, estimating the cost of the first stocktake with a new school is a bit tricky. We use a variety of information provided by the school and also our experience to try and gauge the cost which essentially comes down to the amount of time we expect to spend on the stocktake (both at the school and also in the office). If we spend more time than expected (usually due to more items found) then we have to increase the final invoice, conversely if we spend less time than expected, we will reduce the final invoice. After the first Stocktake we can produce a revised quote for subsequent stocktakes. Prices may go up or down based on the following: Number of actual locations/rooms Number of actual items sighted School decisions on the types of items not to be included in the stocktake Number of items identified for deactivation on SAP On 2nd and Subsequent Stocktakes, in addition to sighting item locations we also focus on a few additional areas which greatly improves the quality and accuracy of your Register, this includes: Identifying items that haven't been sighted in 2 stocktakes or more - write-off candidates Identifying IT equipment which are over 6 years old - deactivation candidates Identifying duplicate items - deactivation candidates Reconciliation of items from previous year's stocktakes Generation of School Stocktake Certificate and relevant Attachments We can guarantee that you will be very pleased with the Stocktake results.
